This data protection policy offers valuable information on how and why personal data is processed by the Futulab platform. The General Data Protection Regulation University of Tartu Futulab (hereinafter “Futulab”) website https://praktika.ut.ee. Futulab is a voluntary internship mediator platform. The personal data uploaded by users onto the platform will be published on Futulab (https://praktika.ut.ee/uliopilased and/or https://praktika.ut.ee/projektipraktika).

Upon adding a profile, submitting a project-based internship proposal or joining a project in Futulab, users give consent to their data being processed in accordance with this data protection policy. The data protection policy does not include guidelines governing the processing of legal persons or the processing of personal data by other persons. Additionally, the policy does not cover personal data processing on unknown websites that are referred to on the praktika.ut.ee websites via external hyperlinks.

1. TERMINOLOGY
  • Processing personal data includes all activities conducted with the personal data of the website user, i.e. data collection, retention, correction or deletion.
  • A user is a natural or legal person (e.g. student, employer, teaching staff member) who visits the website and uses Futulab services.
  • Services include all services offered by Futulab, including adding internship offers, submitting project-based internship proposals, joining projects, uploading profiles, introducing seminars, downloading project application templates, etc.
  • Futulab´s contractual partner Google Analytics is a third party who processes personal data and the service of whom (website visitation statistics) are used by Futulab to offer users services.
2. PROCESSING PERSONAL DATA

In order to provide users services, Futulab processes the following uploaded personal data via its website upon:

  • uploading a profile and joining a project team: username and email address, data about curriculum and institute, character strengths;
  • adding an internship offer: username and email address, phone number, organisation name;
  • submitting project applications: username and email address, organisation name;
  • analysing visitation statistics using non-personalised Google Analytics.

Additionally, Futulab uses third party services to analyse website visitation statistics. Futulab and the personal data published on Futulab are hidden to search engines.

3. LINKS DIRECTING TO OTHER WEBSITES AND ATTACHED CONTENT

Some pages, e.g. the home page include references to other websites or contain attached content, e.g. information about the internship process that can also be browsed on the sisu.ut website. Upon consuming attached content, users technically visit another website that is governed by policy applicable on this site.

These sites may replace cookies, collect user data and forward them to third parties.

4. PERSONAL DATA RETENTION AND SECURITY

Futulab retains the personal data in profiles for up to six months or until users submit applications requesting their data be deleted. Internship offers are viewed on the website until the offers´ deadline. Submitted projects are sorted by the newest first and upon completion, personal data are deleted, and projects archived. In archived projects, the name and objective of the project as well as its activities and results will remain public.

5. USER RIGHTS

At any point in time, the user has the right to demand:

  • the correction, amendment or deletion of personal data;
  • limited processing.

In order to exercise this right, the user must send a request of the aforementioned kind to praktika@ut.ee.

If the user believes their rights have been violated upon processing personal data, they have the right to turn to the Data Protection Inspectorate.

6. COOKIES

In order to ensure a better user experience, the Futulab website uses two types of cookies:

  • persistent cookies will remain stored in a cookies file in users´ computers. For example, they might be used to recognise users as frequent visitors of a website, to customise the content of the website based on the users´ needs or to gather quantitative data;
  • session cookies that are temporary and disappear when users exit the website or close their browser. Session cookies might be used to allow all the website´s functionalities to be viewed, e.g. to apply for a service or product, etc.

Cookies are used to gather data on how the website is used in order to make it more personal and convenient for users. Additionally, cookies help collect visitation statistics that enable measuring and amending the functionality of the website and serve as core data for efficient marketing.

Users are considered to have consented to cookies if their browser settings allow cookies. Browser settings often allow the retention of cookie files on users´ computers by default. Users can refuse cookies in their devices or delete them by changing their browsers´ settings. If cookies are not allowed, the website might not run properly.

Google Analytics can gather data about visitor activity without using cookie files. In order to stop Google Analytics from using the data, users have to install an application to block Google Analytics – a browser extension to ban Google Analytics.

7. CHANGING THE DATA PROTECTION POLICY

Futulab reserves the right to unilaterally change the data protection policy. An updated version of the policy is always available on the website.

To use the content of this website in any form (even partially), all copies must be equipped with a hyperlink referring to this site.
